How Voltaic Select collects, uses and protects your personal information, in line with the Protection of Personal Information Act (POPIA).

1. Who we are

Under POPIA we are the "responsible party" for the personal information we collect through voltaicselect.co.za and in our dealings with you.

2. What we collect

• Contact and identity details: your name, surname, email address and phone number.
• Order details: billing and delivery addresses, the products you buy, order notes and your order history.
• Account details: your login email and an encrypted version of your password, if you create an account.
• Messages: anything you send us through our contact form, by email, phone or WhatsApp.
• Technical information: your IP address, browser and device type, and how you use the website, collected through cookies and Google Analytics. Our Cookie Policy explains this in detail.

We don't receive or store your card or banking details. Card payments are handled by [payment provider, e.g. Yoco or PayFast], which only tells us whether a payment was successful.

3. Why we use it

We only use your information for clear, lawful reasons:

• To process your order, arrange collection or delivery, and handle returns and warranty claims. We need this to fulfil our agreement with you.
• To answer your questions and keep you updated about your order.
• To run your account, if you have one.
• To keep tax and accounting records, which the law requires us to do.
• To keep the website secure, prevent fraud and understand how the site is used so we can improve it.
• To send you news and offers, but only if you've agreed to this or you're an existing customer and the offer is for similar products. You can unsubscribe at any time.

We don't sell your personal information to anyone.

4. Who we share it with

We only share what's needed, and only with:

• our payment provider, to process payments;
• a courier or transport company, if you ask us to deliver;
• service providers who host the website, send our emails or provide analytics, such as Google;
• the manufacturer or supplier of a product, if needed for a warranty claim;
• our accountants and legal advisers; and
• authorities such as SARS or the police, where the law requires it.

Everyone we share information with must keep it confidential and secure.

5. Information sent outside South Africa

Some of our service providers, such as Google, store or process information on servers outside South Africa. When this happens, we only use providers that are bound by data protection laws or agreements giving your information a similar level of protection to POPIA.

6. How we protect it

The website uses an encrypted (SSL) connection, access to customer information is limited to people who need it for their work, and passwords are stored in encrypted form. If we ever become aware of a security breach that affects your information, we'll notify you and the Information Regulator as POPIA requires.

7. How long we keep it

We keep your information only as long as we need it. Order and invoice records are kept for at least five years, as tax law requires. Account details are kept until you ask us to close your account. Messages are kept while they're relevant to an order or enquiry. After that, information is deleted or anonymised.

8. Your rights

Under POPIA you can:

• ask whether we hold information about you and request a copy of it;
• ask us to correct information that's wrong or out of date;
• ask us to delete information we no longer need or aren't allowed to keep;
• object to us using your information for marketing or on the basis of our legitimate interests;
• withdraw your consent at any time, where we rely on it; and
• lodge a complaint with the Information Regulator.

To use any of these rights, contact our Information Officer using the details above. We may ask you to confirm your identity first. You can update most account details yourself under My Account.

If you're unhappy with how we've handled your information, please let us know so we can try to sort it out. You can also complain to the Information Regulator of South Africa at inforegulator.org.za.

9. Children

Our website and online shop are meant for adults. We don't knowingly collect personal information from anyone under 18. If a parent or guardian believes we have information about their child, please contact us and we'll delete it.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
